    What information do we collect?

    Adept Mortgages is a mortgage and protection broker. For us to find the most suitable product for your requirements, there is certain information we need to know, which could include, but is not limited to the following and is subject to how far any initial enquiry has progressed.

    • Your employment, income and monthly expenditure

    If you provide personal information about someone else, such as a partner or another applicant, then you must have their permission to do so.

    If we are arranging a protection policy for you, further information will be required related to your gender, health and lifestyle, including that of your immediate family (parents and siblings). This information is a requirement as it is how insurers calculate premiums.

    If there is a change to your personal information, and you notify us, then we will update the details in our systems. If we have submitted your details to another organisation, such as a mortgage lender, and we are unable to update your details with them, then you will need to contact them directly to make the changes required. 

    When an application is submitted to a lender or insurer, we will also be required to collect direct debit information in most instances. Its also possible that on submission of a mortgage application, there may be fees to pay, such as valuation or application fees. We will inform you in advance if this is the case.

    We will only collect information that helps us to provide the relevant services to you. We will also only keep your information for as long as is needed and only for the following purposes:

     

    • Legitimate business activities
    • Statutory or legal obligations
    • Auditing and regulatory purposes

    Vulnerable Customers

    Under FCA guidelines, a vulnerable customer is someone who, due to their personal circumstances, is especially susceptible to detriment, particularly when a firm is not acting with appropriate levels of care.

    As part of our obligations to the Financial Conduct Authority (FCA), we may also record details of where we believe a customer is deemed to be vulnerable.

    Telephone Calls

    Calls may be recorded for both training and quality purposes. This also helps us to resolve complaints and resolve disputes.

    Marketing and Future Contact

    Where you have purchased a financial product through us, we will contact you in advance of your product ending. Please let us know if you do not wish us to do so.

    We may also contact you with details of other products or services that may interest you to which you have expressly consented. If we do contact you, we will ensure that you can opt out of these communications should you choose to do so.

    Preventing Financial Crime

    Where we have suspicions of money laundering or other suspicious financial activity, we are required by law to submit a Suspicious Activity Report to the National Crime Agency.

    Sometimes we may have to disclose personal data, such as when we are required by law or a court order.

    How we collect data through our website

    We use analytical software such as Google Analytics and Hotjar.

    This allows us to understand how visitors found us and what pages they visit on our website. This data is anonymous, and we do not know who has visited our website.

    Who we share your data with

    As we are a mortgage and protection broker, there are other third parties that we will need to share your information with, such as when we submit an application.

    We may use your data to check information held by credit reference agencies and the electoral roll. 

    Prior to submitting an application to any of our lenders or providers, we are required by law to confirm your identity. We will, therefore, also ask you to supply us with documents that confirm your identity.

    • Life Insurance Providers

    Keeping your data secure is our biggest priority. We use a cloud-based platform to store your data securely.

    Your data protection rights

    • Request access to data held about you – you can request details of what data we hold about you at any time. We will not charge a fee for providing this information.

Please note that under FCA guidelines, we are obliged to retain records of financial transactions for a period of time, so it may not be possible to delete all data we hold about you.     • Restrict how your data is used – In certain circumstances, you may ask for how your data is being used to be restricted, for example, until a complaint is resolved.

    How long do we retain your data for?

    We have specific regulatory requirements to meet, meaning we may need to keep information for a specific period.

    We will only keep your data for as long as we need to.

     

    • If you have purchased a financial product through us, we will retain a complete record of your dealings with us until the end of the product term, plus an extra six years.
    • If you initially apply to a lender or insurer but do not proceed with the product, we will retain this for six years.
    • If we provide advice on a product, but an application is not submitted, we will retain your data for three years.
    • Future marketing where consent has been obtained – indefinitely unless you inform us otherwise.
    • If you have made an initial enquiry through our own or a 3rd party website form, we will attempt to contact you as soon as possible. If contact attempts have been unsuccessful, we will retain the information for 60 days and remove you from our database unless you have specifically opted in for future marketing when making the initial enquiry, in which case we will keep your data until you tell us otherwise.
